Where can AI help your team?
An AI assistant for internal documentation
An employee asks a question in natural language and the assistant searches for an answer in selected instructions, procedures and other documents. The solution can show its sources so the user can check the answer. We adapt document access to user roles and agreed rules.
A customer support assistant
AI can prepare answers to frequently asked questions from your knowledge base, help categorize enquiries and pass a complex case to an employee. We define in advance the topics it covers, the data it uses and when it involves a team member.
Processing documents and messages
Selected documents or messages can be used to suggest key data, a category and a short summary. An employee checks the result before it is entered into a business system whenever that control is needed. Quality depends on the format, readability and consistency of the input material.
Preparing sales and operational tasks
AI can help prepare draft replies, conversation summaries, product descriptions or suggested next steps. Connecting it to existing tools makes the result part of a real workflow, with agreed checking and approval steps.
Example: an internal procedure assistant
The team often asks where a form is located and which procedure applies to a particular request. The assistant searches approved documents, provides a relevant answer and links to the source. If the required information is not found, it asks for clarification or refers the user to the responsible person. This is an example of a possible project; we adapt the scope and behaviour to your documents.
How do we introduce AI into your business?
- We choose a task and a success criterion. For example, enquiry processing time, the accuracy of extracted fields or the usefulness of answers.
- We review the data. We check available sources, how current they are, usage rights and access methods.
- We build a pilot. We test representative examples, including unclear and incomplete requests.
- We add controls. We agree on answer sources, records, permissions and human approval of actions.
- We monitor performance. After implementation, we observe quality, errors and usage, then adjust the solution.
Data, answer checking and costs
AI can give an incorrect or incomplete answer. Before implementation, we therefore define what it may prepare independently, what the user should check and which actions require approval. We align model selection, data processing location, history retention and access with your business requirements.
Total costs may include development, integration, data preparation, model usage, hosting and maintenance. We estimate them according to the expected number of users and workload, while the pilot results inform the decision on further investment.
AI solutions for business: how do we evaluate a pilot?
Before testing, we collect examples of questions and expected results. It is important to include short and long requests, unclear questions and situations for which the documentation has no answer. This lets us check when the result is useful, when it needs more information and when the task should be passed to an employee.
For document search, we assess the relevance of the sources found and the accuracy of the answer against them. For data extraction, we check each required field and how uncertain results are marked. We agree on success criteria before the pilot, including acceptable response time and expected usage costs.
One possible approach connects the model to a search of your sources; see Microsoft's documentation on grounding AI answers in data for more information. We use the pilot results to decide what to put into operation, what to adjust further and which steps remain under the team's control. Where needed, we connect the solution to a CRM or ERP system.

How do you prepare an AI pilot project?
AI solutions for business are easiest to assess when you choose one task and a few real examples. Prepare anonymized inputs and describe what a good answer should contain. Include cases with missing data or conflicting instructions. This helps us test the limits of the application from the outset.
Choose someone who understands the process and can assess the results. The technical team can check whether the system works, but your specialist should confirm whether the answer helps with the actual job. Agree on what counts as an acceptable result, what needs correction and when a task should be passed to a human.
Which sources are included in the solution?
AI solutions for business require a review of permitted sources, how current they are and who owns them. If three versions of the same procedure exist, first establish which one applies. The employee responsible for content should know how a document is changed and when a new version becomes available to the assistant.
Before integration, we discuss user roles, processing location and data storage. We do not assume every employee may see every document. We choose the technical approach according to these requirements, as well as how well a model phrases its answer.
How do you decide on further investment?
The pilot should show usefulness, the time needed to check results and expected operating costs. Compare the new workflow with the existing process: does the employee finish the task faster, and how often do they correct the result? If checking takes longer than doing the work manually, the scope or approach needs to change.
AI solutions for business can be introduced gradually, initially to help with preparation. Sending messages, changing records and other actions receive additional rules and approvals according to the project. We add new tasks only once previous ones have been sufficiently tested. This makes the pilot a basis for a decision, rather than a promise of predetermined savings.
Frequently asked questions
Do we need a completely new AI model?
For many business tasks, adapting an existing model and connecting it to your data and tools is sufficient. We choose the approach according to the task, result quality and total costs.
Can AI work with our CRM or website?
Yes, when the appropriate access and integration options exist. On our API integrations page, we explain how we plan data exchange between systems.
How can we start with a smaller project?
Choose one frequently repeated task. Send a description of the current process and anonymized examples of inputs and the desired result. We use these to propose the scope of a pilot.
